Event App Privacy Policy

This policy explains how the Eyeprentice 2026 event app collects, uses, and protects your information — including your attendee profile, email verification, and the attendee directory that lets participants connect with one another.
About This Policy
This policy applies specifically to the Eyeprentice 2026 event app (the "App"), the mobile and web application used by attendees, faculty, fellows, residents, and sponsors of the 2026 Cataract, Refractive & Anterior Segment Fellowship Showcase. It supplements the main Eyeprentice Privacy Policy, which continues to govern the Eyeprentice website and Learning Series.
By signing in to and using the App, you agree to the practices described here.
Information We Collect
To create your attendee profile and let you connect with others at the event, the App collects and stores the following:
- Your name, email address, and role (for example, faculty, fellow, resident, or attendee).
- Optional profile details you choose to add, such as your practice or organization, title, city, a short bio, professional interests, a LinkedIn link, and a profile photo.
- A six-digit verification code sent to your email to confirm it is really you. Codes are stored in a secured (hashed) form, are limited to a small number of attempts, and expire shortly after they are issued.
- A secure sign-in session so you stay logged in while you use the App. This is stored in a strictly necessary cookie required for the App to function.
How We Use Your Information
We use the information in the App only to run the event experience, specifically to:
- Create and display your attendee profile.
- Verify your identity by email so only you can claim or edit your profile.
- Power the attendee directory so participants can find and connect with one another.
- Show residents and faculty their personalized wet lab rotation, times, and rooms.
- Operate, secure, and improve the App during the event.
The Attendee Directory — What Others Can See
The App includes an attendee directory so participants can network. If you claim or create a profile, your name, role, and any optional details you add (such as your organization, title, city, bio, interests, LinkedIn link, and photo) are visible to other signed-in attendees of the event.
Your email verification code and sign-in session are never shown to other attendees. If you prefer not to appear in the directory, do not complete a profile, or contact us at info@eyeprentice.com and we will hide or remove it.
How We Share Information
We do not sell your personal information, and the App contains no advertising or third-party ad tracking. Your profile information is shared only with other signed-in event attendees through the directory, as described above.
We use a small number of trusted service providers to run the App: Vercel hosts the App and its database, and Resend delivers the verification emails. These providers process information on our behalf under their own privacy and security terms. We may also disclose information if required by law or to protect the safety and integrity of the event.
Data Security
We use reasonable administrative, technical, and physical safeguards to protect your information. Verification codes are stored hashed rather than in plain text, sessions are transmitted over secure connections, and access to attendee data is limited. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
Data Retention
The App and its attendee data support a specific, time-limited event. We keep your profile for the duration of the event and a reasonable period afterward, and then delete or de-identify it. Verification codes are deleted or expire shortly after they are used. You may ask us to delete your profile at any time as described below.
Your Choices and Rights
You control the optional details on your profile and can edit them at any time from the "Me" section of the App. You may request that we access, correct, hide, or delete your profile and associated information by contacting us. Depending on where you live, you may have additional rights under laws such as the GDPR or the California Consumer Privacy Act; the corresponding sections of the main Eyeprentice Privacy Policy describe those rights and how to exercise them.
Children's Privacy
The App is intended for medical professionals and event participants and is not directed to children. We do not knowingly collect personal information from children.
Changes to This Policy
We may update this policy from time to time. When we do, we will revise the date at the top of this page. Your continued use of the App after changes take effect constitutes acceptance of the updated policy.
